Guide updated in V5.53Lightbox previous/next document movement is now instant again, with no left/right slide animation. Matched because displays each source on a separate line. Full screen now exits when the lightbox closes.
Quick guideType a word or phrase in the search box. Use the type buttons, dropdown filters, and Search all / Image only / Text only / Metadata only controls to narrow the results. Click Preview or a thumbnail to open the lightbox. Use Download or Copy Z path when available.
SearchingOne word gives broad results and, when synonyms are on, groups similar buckets with the left navigation dots. Two or more words narrows the search, because each typed word must be found. For example, beach ball is stricter than beach.
SynonymsUse synonyms expands the search to related words. This can find useful items where the exact word was not used, but it can also add extra results. Turn synonyms off when you want a tighter, more literal search.
Multi-word searchesWhen synonyms are on, multi-word searches split into Exact keyword matches and Similar matches. Exact matches use whole words and simple plurals. Similar matches catch broader or related terms.
Page referencesFor multi-page documents, Matched because may show page references when page-level text or visual analysis exists in the index. If no page reference is shown, the system only knows the document matched, not the exact page.
Search modeSearch all checks the combined searchable data. Image only focuses on visual analysis. Text only searches extracted/OCR text. Metadata only searches fields such as filename, year, state, academy, type and related metadata.
FiltersUse Years, States, Learning areas / Category, Employer / Partner, and Advanced filters to narrow results. Dropdown filters include their own search boxes. Clear all resets the search and filters.
Cards and previewFill crops cards to a consistent layout. Fit shows the whole image. The three tiny dots beside Fill choose top, middle or bottom crop position. Small, Medium and Large change card size. These view settings are saved in this browser.
LightboxThe lightbox is for previewing results. Previous and next move through the current result set. Prev page and Next page appear when the item has multiple page previews. More details shows the card summary plus full metadata. Download file opens the best available link for the original document.
Copy Z pathCopy Z path copies the Windows/Z Drive path when available. On local file pages or locked-down browsers, direct clipboard access may be blocked. The system tries a fallback copy method, then shows a manual copy prompt if needed.
Downloads / opening filesDuring testing, Download/Open file buttons can use the local Z Drive or UNC path to open the original document. Later, these should point to Dropbox links so staff away from the office can access files without needing the local drive.
Feedback / ideasUse Feedback / ideas to leave notes during testing. For now those notes are saved in this browser only, not emailed or centrally collected.
